Privacy policy.

MindClerk is a Mac app made by CodeLoom. This policy covers the app and this website, mindclerk.ai. The short version: the app keeps what you say on your Mac, we run no server that receives it, and neither the app nor this site has analytics.

What the app keeps, and where

Your dictations, their recordings, meeting notes and transcripts, settings, dictionary and snippets are stored on your Mac, in ~/Library/Application Support/com.codeloom.mindclerk. You can turn history and recordings off, use Privacy mode (nothing from a dictation is written to disk), export your setup, and delete everything from within the app.

API keys you enter for cloud providers are stored only in the macOS Keychain — never in the settings file, the log or the history.

What leaves your Mac

By default, nothing you say. Speech recognition and AI cleanup run on your Mac. The app contacts the network only for:

• Cloud providers you choose. If you pick a cloud speech or AI provider (for example OpenAI, Anthropic, Gemini, Groq, OpenRouter, Deepgram or ElevenLabs) and save your own key, the audio or text of that step is sent directly from your Mac to that provider, under its terms and privacy policy. Settings → Data & privacy → What leaves your Mac shows exactly which steps do.
• Model downloads from Hugging Face, when you download a model.
• The update check, once per launch, fetches a small file describing the newest version from mindclerk.ai. It can be turned off in Settings.
• Google Calendar and Gmail, only if you connect them (see below).

Google data

If you connect a Google account, MindClerk uses read-only access to show your upcoming meetings (Google Calendar) and, if you turn on meeting briefs, to find recent emails with a meeting’s attendees (Gmail). This data is fetched directly from Google to your Mac, used only to provide those features, stored on your Mac, never sent to us, never sold, and never used to train models. Your Google tokens are kept in the macOS Keychain; disconnecting removes them.

MindClerk’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. If you choose a cloud AI provider for meeting briefs, the email excerpts used for a brief are sent to that provider, as described in the app.

No analytics

The app contains no analytics, telemetry or crash-reporting code, and has no account. This website sets no cookies and runs no analytics or third-party scripts; its fonts are served from this site.

This website

Like any web server, the server that hosts mindclerk.ai records requests in its logs — IP address, time, page and browser — to keep the site running and secure. These logs are kept for a short time and are not used to identify or profile you.

Recording meetings

The Notetaker records calls on your Mac. You are responsible for telling the people you record and getting their consent where the law requires it; the app keeps a consent message ready for that.

Children

MindClerk is not directed at children under 13.

Changes

If this policy changes, the new version will be posted here with a new effective date. Material changes will be noted in the release notes.
